Plan, Quote, Accept: How a Booking Runs
Three steps, in order: you send the plan, an operator costs it, and you decide. You pay nothing before accepting a quote.
1. Send the plan
What we need: the number of passengers, the date, the pickup address and time, every stop in order with the time spent there, and where the day ends. Add luggage, sports bags, instruments or wheelchairs, because they can change the vehicle. For an airport or station pickup, give the flight or train number.
For a Klassenfahrt, say how old the pupils are and how many teachers or other adults travel with them. Seat belts must be worn where fitted, children included. The child-seat rule for under-12s does not apply on buses over 3.5 t, but it can apply in smaller vehicles, so mention young children.
2. An operator costs it
We pass the plan to a partner operator with a suitable coach free that day. The operator works out the distance, the hours, any waiting time and the route: whether it enters an Umweltzone, where the coach can set down and where it parks while the group is out.
Some days are too long for one driver. If the plan goes past the daily driving limit, or leaves too little rest before the next morning, the choice is a second driver, an overnight stop or a shorter day. The quote says which one it assumes.
3. Check the quote and accept
One quote comes back. It names the vehicle, sets out times and route, lists what is included and gives the operator's cancellation terms. These differ by vehicle, so read them. Ask for changes if anything is off. Accepting is the first point at which anything is charged.
If the plan changes
Fewer people, a delayed train, an extra stop: tell us as soon as you know and we take it to the operator. If the change affects the price, you see the new figure before anything more is charged. Cancelling follows the terms on your quote.

How much do I need to know before asking?
Headcount, date and the places you want to go. Exact times can follow; the more precise the plan, the more precise the quote.
Who is my contact once it is booked?
We are, for anything about the booking. On the day, the driver runs the trip for the operator.
Can we ask for a toilet on board or a guide microphone?
Yes. Say so in the request. The quote names the vehicle type and number of seats, so you can check it before accepting.
